By booking a service with Bedtime Gardens, you're agreeing to the points below.
What we offer
Our services are organized around caring for raised bed gardens in Arlington, Falls Church, and Fairfax, VA:
- Site: Sun & Soil Site Analysis. A property visit to look at sunlight, drainage, access, and where raised beds could go.
- Build: installing raised beds (wood, metal, or self-watering) and filling them with a custom soil mix.
- Protect: critter, pet, and weather protection (hardware cloth, fencing, hoops, covers, and shade).
- Water: drip irrigation, soaker setups, self-watering systems, and vacation watering.
- Service: seasonal maintenance, repairs, and adjustments to any of the above.
Site analysis: scheduling, cancellations, and booking fees
If a fee applies to your site analysis booking, the amount is shown before you confirm. Card payments are handled by our booking provider's payment processor. We don't see or store your card details.
If you need to cancel or reschedule, please give us at least 24 hours' notice. A quick email to hello@bedtimegardens.com is enough. With 24 hours or more of notice, any fee is refunded in full. With less than 24 hours' notice, or for a no-show, the fee isn't refunded.
The fee covers our time on the visit and the written proposal we send afterwards.
Photos and notes
We may take photos, sketches, and notes during the visit to prepare your proposal. Photos may also appear in our marketing (bedtimegardens.com, social media, or print). We won't include addresses, names, or images of people without your written permission. Tell us at the visit if you'd prefer photos stay internal.
Audio recording
We may record audio during the visit so we can focus on the conversation rather than scribbling. Recordings are kept internal, never used in marketing, and deleted when we no longer need them. Tell us at the start of the visit if you'd rather we take written notes only.
Recommendations are estimates
Anything we recommend is based on what we observe during a visit. Soil, drainage, sun, and growing conditions can shift over time, and plant outcomes depend on care, weather, and other factors outside our control. Proposals and quotes are our best informed estimates, not guarantees of yield or results.
Booking a site analysis doesn't commit you to more
If you'd like us to build, fill, water, or protect beds afterwards, we'll send a separate written quote. The terms below (quotes and payment, materials, warranty, weather, and access) apply to that work once you accept the quote. Booking a site analysis doesn't commit you to anything beyond the visit.
Quotes and payment
For install, protection, watering, and service work, we send a written quote with the total cost and any assumptions we've made. Quotes are valid for 30 days from the date we send them. After that, supplier pricing may shift and we may need to re-quote.
We typically ask for a deposit at scheduling to cover materials we purchase on your behalf, with the balance due when the work is complete. If you'd prefer a different split, just ask. Payment links are sent by email; we don't see or store your card or bank details.
If the scope changes mid-project (you add a bed, swap a material, expand the irrigation run), we'll send a revised quote before continuing.
Materials
In most cases, we purchase materials for your project on your behalf: beds, lumber, hardware cloth, soil, irrigation components, plants, and so on. Any leftover materials we bought specifically for your project stay with you. If something arrives defective from the supplier, we'll handle the return or replacement.
You're welcome to supply your own materials. We'll flag any concerns before installing them, but we can't be responsible for problems caused by materials you provide.
Workmanship warranty
If you spot something that isn't right with how we built or installed your project (a wobbly bed, a leaking fitting, a structure that's shifted), let us know within 60 days of completion and we'll come fix it at no charge. After that, repairs are billed at our normal service rates. This warranty covers our workmanship only, not damage from misuse, severe weather, or third-party changes.
What we can't warranty
We can't warranty living things or biological outcomes. Plant survival, yield, soil microbiology, and pest pressure depend on weather, watering, care, and conditions outside our control. Wood beds weather and patina; metal beds expand and contract; drip lines clog over time. These are normal and not defects. Ongoing visits are how we keep gardens and garden solutions at their best.
Weather and rescheduling
Install and service days are weather-dependent. If forecasted conditions would risk the quality of the work or the safety of the crew (heavy rain, extreme heat, lightning, frozen ground), we'll reach out to reschedule, usually within a week. There's no fee for weather-related rescheduling.
Access
By booking, you confirm you have the authority to grant access to the property and the area where work will happen (yard, side gate, patio, etc.). Be reachable by text on the day so we can send photos for confirmation and check in if questions come up. If we arrive and can't reasonably access the site, we may need to reschedule and a re-trip fee may apply.
For install or service work, you're also confirming you've told us about any private underground lines on the property (irrigation, invisible pet fence, low-voltage landscape wiring, French drains, anything similar) so we can avoid them. We'll handle the 811 utility locate ourselves before install.
Promotional installs
For projects we install at materials cost as portfolio pieces, you're giving us permission to use photos, video, quotes, and descriptive text from the install and follow-up visits, including on bedtimegardens.com, in our portfolio, on social media, and other channels. We won't publish your full name, full address, phone, or email, and we won't publish facial photos of you or your children without your explicit written permission.
Materials payment is collected up front. We're a newer company and don't yet have the capacity to fund materials across all our customers. Thanks for understanding.
You're also giving the install team permission to come on-site during the agreed install date range and for one or two follow-up photo visits within six months of completion, any time between 6 a.m. and 8 p.m. We'll give at least 24 hours' notice before any follow-up visit, and you can reschedule if the timing doesn't work.
Your contact info
We use your name, email, address, and phone number to schedule the visit and send your proposal. We don't sell your info. If you'd like us to delete your contact details, email hello@bedtimegardens.com and we'll take care of it.
